Accounts Payable Specialist

Job Summary

As part of the Accounts Payable Team, you will interact with vendors and our other office locations located globally.

Essential Functions

Under general supervision:

  • Review client billings and vendor payables for accuracy
  • Prepare daily ACH/EFT payments to vendors
  • Prepare weekly foreign currency payments and overseas USD payments to vendors
  • Prepare weekly check run and additional checks as needed
  • Identify and report discrepancies between payment reports and payments made
  • Load and properly apply payments on vendor accounts in accounting system
  • Research and resolve internal and external inquiries concerning account status and communicate resolution of discrepancies to appropriate personnel
  • Ability to prioritize and rearrange priorities as needed to meet deadlines
  • Maintain/update vendor files as needed
  • Load vendor invoices for processing
  • Load administrative invoices for processing
  • File payments once completed
  • Perform other duties as required or assigned
  • Prepare and send remittance information to vendors
  • Prepare and update recurring payables forms
Other Responsibilities
  • Assists in the accomplishment of Colt company goals
  • Helps other employees to accomplish Colt company goals
  • Performs other duties as may be assigned by department supervisor
Education/Experience Requirements
  • High school diploma or equivalent
  • At least one (1) year of work experience in an office environment in Accounts Payable, Facilities or related field
Knowledge, Skills, and Attributes
  • Prior Accounts Payable experience and knowledge of General Accounting proceduress
  • Knowledge and prior experience of Great Plains Accounting System a plus
  • Knowledge and prior experience of any of the following online banking systems a plus:
    • JPMorgan Chase Access
    • Morgan Direct
    • Royal Bank of Canada
    • Credit Suisse
    • HSBC
  • Knowledge of office etiquette, practices and procedures
  • Excellent verbal and written communication skills
  • Ability to work under pressure and meet deadlines
  • Fast and accurate data entry skills
  • Knowledge of Microsoft Office applications
  • Ability to work with employees across functions and in remote locations
Physical Requirements

Performs light work; exerting up to 20 pounds of force occasionally, or up to 10 pounds of force frequently, or a negligible amount of force constantly to move objects.

FLSA and Compensation

This position is eligible for the following, subject to the company's then current policies and procedures:

  • Will be paid hourly
